Use a Recurring Template to Speed Up Repeated Proxy Registrations
Recurring activities such as weekly group peer mentor sessions share the same activity type, duration, and often the same group of participants. Coordinators should be able to save a named template capturing these shared fields and the default participant list. When initiating a new proxy batch, they can load the template, adjust only the date (which auto-fills to today), review the participant list for any changes, and submit. Templates are scoped to the coordinator's chapter and persist across sessions.
User Story
Acceptance Criteria
- Given the coordinator is on the bulk proxy registration screen, when they tap 'Load template', then a list of their saved recurring templates appears with name, activity type, and participant count
- Given the coordinator selects a template, when the form loads, then activity type, duration, and participant list are pre-populated and only the date defaults to today
- Given the coordinator wants to save a new template, when they complete a bulk registration and tap 'Save as template', then they are prompted for a template name and the template is stored for future use
- Given a template exists with participants who have since left the chapter, when the template is loaded, then removed participants are automatically excluded and a banner notifies the coordinator of the change
- Given the coordinator saves the registration, then the template's last-used date is updated and the template appears at the top of the list on next access
Business Value
Recurring templates reduce the time cost of weekly bulk registrations from minutes to seconds. For coordinators managing large chapters with consistent weekly programmes, this is the difference between a sustainable workflow and a burdensome one. Reducing friction at the point of registration directly increases the completeness of Bufdir-reportable activity data, which has direct implications for grant calculations.
